Welcome to SoSouth Distribution ("SoSouth," "we," "us," or "our"). This Privacy Policy applies to information we collect from and about you through the SoSouth website, artist portal, mobile experience, and any other online or offline offerings operated by or on behalf of SoSouth (collectively, the "Services").
By using our Services, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with this policy, please do not use our Services.

02The Information We Collect
We collect information in three primary ways: (1) information you choose to provide directly to us; (2) information we collect automatically through technology when you use the Services; and (3) information we receive from third-party sources.
INFORMATION YOU PROVIDE DIRECTLY: When you use our Services, you may provide us with the following categories of information: • Personal and account information — your name, artist name, address, telephone number, email address, social media handles, and login credentials. • Financial and transactional information — payment method details, purchase and transaction history. If you receive royalty payments through the Services, we may also collect your Social Security Number (SSN) or Employer Identification Number (EIN) as required for tax reporting purposes under US law (IRS Form 1099). • Demographic information — age, gender, interests, and background information provided voluntarily. • Audio and visual information — profile photos, artist images, and audio from your submitted tracks. • Track metadata — information about tracks you submit, including Track ID, producer credits, featured artist names, album artwork, International Standard Recording Code (ISRC), UPC/EAN, music genre, release date, and hometown. • Customer service records — messages submitted through online forms, email, and summaries of interactions with our support team. • Survey and research information — responses to surveys, interviews, or research you participate in.
INFORMATION COLLECTED AUTOMATICALLY: When you use our Services, we and our service providers may automatically collect: • Usage and interaction data — IP address, state or country of access, date and time of use, browser language, software and hardware attributes (including device IDs, operating system, and browser type), number of clicks, pages viewed, referring and exit URLs, and error logs. • Location information — general location (city/state) derived from your IP address. Our mobile experience may request precise GPS-based location with your permission, in accordance with your device settings. • Link and referral tracking — if you use or share artist-generated links, we collect information about clicks, activity, and conversions associated with those links.
INFORMATION FROM THIRD-PARTY SOURCES: We may receive information about you from other sources, including business partners, marketers, social network services, music licensing and royalty accounting services, and other third parties. We may combine this information with data we collect directly from you.
03Cookies & Online Tracking
We and our service providers use cookies, pixel tags, web beacons, and similar tracking technologies to collect information about your use of the Services and to deliver a consistent, personalized experience.
TYPES OF COOKIES WE USE: • Strictly Necessary — Required for the platform to function (session management, authentication, security). These cannot be disabled. • Performance & Analytics — Collect anonymized data about how visitors use the platform (pages visited, time on site, error rates) to help us improve the Services. • Preference — Remember your settings and choices so you don't have to reset them on each visit. • Marketing & Advertising — Used to deliver relevant advertising, measure ad effectiveness, and support retargeting across third-party platforms.
THIRD-PARTY ANALYTICS: We may use third-party analytics services (such as Google Analytics) to help understand how users engage with the Services. These providers have their own privacy policies governing how they handle data collected through their tools.
DO NOT TRACK: Some browsers offer a 'Do Not Track' (DNT) signal. Our Services do not currently alter their data collection or use practices in response to DNT signals, as there is no universally accepted standard for how sites should respond to them.
MANAGING COOKIES: You can control and delete cookies through your browser settings. Note that disabling certain cookies may affect platform functionality, including the ability to log in or access account features. See our Cookie Policy for additional detail.
04How We Use Your Information
We use the information we collect for the following purposes:
SERVICE DELIVERY & OPERATIONS — To create and manage your account; process and deliver your music distribution submissions; calculate, track, and pay out royalties; provide customer support; and communicate important account updates.
PAYMENTS & TAX COMPLIANCE — To process payments through our payment processors; comply with IRS reporting requirements (including issuing 1099 forms where applicable); verify your identity; and prevent fraudulent transactions.
PLATFORM IMPROVEMENT — To analyze usage trends, diagnose technical problems, conduct research, and improve the features, performance, and security of our Services.
MARKETING & COMMUNICATIONS — To send you newsletters, promotional materials, platform updates, and other information about SoSouth offerings that may interest you. You may opt out of marketing communications at any time (see Your Controls & Choices below).
FRAUD PREVENTION & SECURITY — To detect, investigate, and prevent fraudulent streaming activity, account misuse, and other illegal or harmful conduct.
LEGAL COMPLIANCE — To comply with applicable laws, regulations, and legal processes; respond to lawful requests from law enforcement or government authorities; and enforce our Terms of Service.
RESEARCH & ANALYTICS — To conduct surveys, interviews, and internal research to better understand our artist community and improve our services.
ARTIFICIAL INTELLIGENCE & MACHINE LEARNING — We may use information, including content you submit to the Services, for the purpose of developing, training, evaluating, and improving artificial intelligence and machine learning models, systems, and applications — including those used to improve recommendations, analytics, and platform features. We will not use your master recordings to train generative AI models without your explicit consent.
LEGAL BASES FOR PROCESSING (where applicable): Where required by law, our processing of your information is based on: (a) the performance of a contract with you; (b) our legitimate business interests or those of third parties; (c) compliance with applicable legal obligations; or (d) your consent.
05How We Share Your Information
We do not sell your personal information to third parties for their own independent marketing purposes. We may share your information in the following circumstances:
SERVICE PROVIDERS — We work with select third-party vendors to help operate and deliver our Services, including payment processors, DSP delivery partners, cloud storage providers, analytics services, customer support tools, fraud prevention services, and tax and legal service providers. These service providers are authorized to access your information only as needed to perform services on our behalf.
BUSINESS PARTNERS — We may share information with business partners who co-sponsor promotions, events, or features on the platform. In connection with brand partnership or sync licensing opportunities, we may share artist track information and relevant metadata with potential brand or licensing partners in accordance with your distribution agreement.
DIGITAL SERVICE PROVIDERS (DSPs) — We share your music, metadata, and associated artist information with streaming and download platforms (such as Spotify, Apple Music, Amazon Music, and others) as necessary to fulfill your distribution agreement.
AFFILIATED ENTITIES — We may share information within our family of affiliated companies to deliver the Services, operate our business, and enhance your experience.
THIRD-PARTY INTEGRATIONS — If you connect a third-party application or service to your SoSouth account (such as a social media platform or analytics tool), we will share information required to enable that connection.
LEGAL & COMPLIANCE DISCLOSURES — We may disclose your information to law enforcement, government agencies, or other third parties when required by law, subpoena, court order, or other legal process, or when we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
BUSINESS TRANSFERS — In the event of a merger, acquisition, sale of assets, reorganization, or similar corporate transaction, your information may be transferred to the acquiring entity. We will provide notice before your personal information is transferred and becomes subject to a different privacy policy.
WITH YOUR CONSENT — We may share your information with additional parties when you give us your explicit consent to do so.
06Children's Privacy
SoSouth does not knowingly collect personal information from children under the age of 13. Our Services are intended for users who are at least 18 years of age. If you are under 13, you are not permitted to use the Services or provide any personal information to us.
If we become aware that we have inadvertently collected personal information from a child under 13 without verifiable parental consent, we will take immediate steps to delete that information. If you are a parent or guardian and believe your child has provided personal information to SoSouth, please contact us immediately at info@sosouth.com.
This policy is intended to comply with the Children's Online Privacy Protection Act (COPPA). Parents or guardians with questions about our practices regarding children's data are encouraged to contact us directly.
07Security & Data Retention
SECURITY: We implement industry-standard administrative, technical, and physical security measures to protect your personal information from unauthorized access, disclosure, alteration, or destruction. These measures include encryption of data in transit (TLS) and at rest, access controls, role-based permissions, and regular security reviews. No method of data transmission or storage over the internet is 100% secure, and we cannot guarantee absolute security. In the event of a data breach that affects your rights or freedoms, we will notify you as required by applicable law.
DATA RETENTION: We retain your personal information for as long as necessary to provide the Services, fulfill the purposes described in this Privacy Policy, and comply with our legal obligations. Specific retention periods vary by data type: • Account information — retained for the duration of your account plus up to 5 years after closure for legal and tax compliance purposes. • Financial and tax records — retained for a minimum of 7 years as required by US tax law. • Distribution and royalty records — retained for the duration of the distribution relationship plus 5 years. • Communications and support records — retained for up to 3 years. • Analytics and log data — typically retained for up to 24 months in identifiable form.
When your information is no longer needed, we securely delete or anonymize it. You may request deletion of your account and associated data at any time by contacting us (see Your Controls & Choices below), subject to our legal retention obligations.
08Your Controls & Choices
Depending on your location and applicable law, you may have the following rights and controls:
ACCESS & CORRECTION — You may request access to the personal information we hold about you and ask us to correct any inaccurate or incomplete information. You can update most account information directly through your artist portal.
DELETION — You may request that we delete your personal information. We will honor deletion requests subject to any legal obligations that require us to retain certain records (such as tax and financial records). To request deletion, contact us at info@sosouth.com.
EMAIL & MARKETING OPT-OUT — You may opt out of marketing emails at any time by clicking the 'Unsubscribe' link in any marketing email or by contacting us at info@sosouth.com. Note that even if you opt out of marketing emails, we will still send you transactional and account-related communications.
PUSH NOTIFICATIONS — If you use our mobile experience and have enabled push notifications, you can disable them at any time through your device settings.
LOCATION DATA — You can withdraw consent for precise location tracking at any time through your device settings.
COOKIES & TRACKING — You can manage cookie preferences through your browser settings. See our Cookie Policy for more detail.
ACCOUNT CLOSURE — You may close your account at any time by contacting us at info@sosouth.com. Please note that account closure does not automatically result in the deletion of all associated data, as we may retain certain information for legal, tax, and compliance purposes.
DATA PORTABILITY — Where required by applicable law, you may request a copy of your personal information in a portable, machine-readable format.

09Jurisdiction-Specific Rights
CALIFORNIA RESIDENTS (CCPA / CPRA): If you are a California resident, you have specific rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA), including: • The right to know what personal information we collect, use, disclose, and sell or share. • The right to delete personal information we have collected from you (subject to certain exceptions). • The right to correct inaccurate personal information. • The right to opt out of the sale or sharing of your personal information for cross-context behavioral advertising. • The right to limit the use and disclosure of sensitive personal information. • The right not to be discriminated against for exercising your privacy rights. OTHER US STATE RESIDENTS: Residents of Colorado, Virginia, Connecticut, Texas, and other states with applicable privacy laws may have rights similar to those described above, including rights of access, correction, deletion, data portability, and opt-out of targeted advertising and profiling. EUROPEAN ECONOMIC AREA (EEA), UK & SWITZERLAND RESIDENTS: If you are located in the EEA, UK, or Switzerland, you have rights under the General Data Protection Regulation (GDPR) or equivalent applicable law, including: • The right to access your personal data. • The right to rectification of inaccurate data. • The right to erasure ('right to be forgotten'). • The right to restriction of processing. • The right to data portability. • The right to object to processing based on legitimate interests. • The right to withdraw consent at any time where processing is based on consent. • The right to lodge a complaint with your local data protection authority. Where we transfer your personal information outside the EEA or UK, we ensure appropriate safeguards are in place in accordance with applicable law.
